Department Overview:
The Process Excellence department manages the Quality, Safety (Aviation), Occupational Health & Safety and Environment (QSHSE) functions in the organization and is focused on developing the global standards for Jetex operations, in compliance with international standards, airport authority/ external stakeholder requirements and other applicable regional and local compliance requirements. Further, the Process Excellence team works with each business unit/ country of operations to integrate such standards/ best practices, and develop, implement, and continually improve policies and procedures.
The team manages the below with respect to the QSHSE function:
- Development of policies and Standard Operating Procedures (SOPs), in collaboration with the respective business owners (Business Units/ FBOs).
- Development, standardization and monitoring of the Jetex FBOs Safety Management System (SMS).
- Certifications, including the ISO Integrated Management System (9001, 14001, 45001), ISBAH, Carbon footprint calculation/ certification.
- Audit program, including Internal audits, External audits (Stakeholder and Clients) and Supplier Assessments
- Incident Management and Investigations.
- Training under the scope of the QSHSE function.
- Performance measurement, including the establishment and monitoring of the QSHSE performance indicators for the business functions.
Job Purpose
The Manager Safety and Compliance role plays a key role in ensuring the effective implementation of the Jetex Corporate Safety Management System (SMS) across the FBO Network. The role will work in close liaison with the Safety Representatives in each FBO and maintain oversight on the compliance assessment matrix and safety performance of the organization. The role is responsible for ensuring the highest possible standards of safety and compliance of all activities under the scope of the FBO network.
Key Responsibilities: -
Safety & Compliance:
- Keep abreast with the changes in the international regulations and standards (Such as IATA, ICAO, ISBAH) under which the Jetex FBO network operates. Ensure that such regulations and requirements are integrated into the operational procedures and documentation, in liaison with the internal stakeholders across the FBO Network.
- Oversight on the FBO networks safety compliance assessment matrix to ensure that the applicable international/ national/ local/ aerodrome regulations, legal requirements, international aviation/ certification related standards, and any Client-specific requirements are effectively documented and implemented by each FBO. Any changes to the standards/ applicable regulations shall be verified, analysed along with the FBOs Safety Committee and put into action in context to the Management of Change process established within this document.
- Safety oversight to ensure the effective implementation of the Safety Management System in the FBO network.
- Creating a platform to analyse organization wide SMS performance and drive continuous improvement efforts on the programme.
- Periodic review of the Jetex Corporate Safety Management System in liaison with the Safety Representatives from within the FBO network
- Organizing Safety Action Group meetings within the Jetex FBO network, to increase collaboration and organizational learning on safety. Each meeting shall be documented, and the action points addressed promptly.
- Monitoring the effectiveness of the SMS and the risk control measures, and shall initiate corrective or preventive actions where necessary to continually improve the SMS performance.
- Implementation of the SMS framework in new FBOs added to the Jetex network
Safety Assurance:
- Conduct internal audits within the FBO network to ensure compliance with the procedures set out in the FBO documentation and to assess the full scope of the FBO process. Any findings from these audits shall be published and the appropriate corrective/ preventive measures put in place to address them.
- Conduct 3rd party service provider assessments in context to the SMS and recommendations to improve the overall safety performance of the processes.
- Represent the organization in Client and external stakeholder audits.
- Ensure that audit checklists are up-to-date with the applicable regulations, standards, best practices and documented procedures.
- Maintain strict compliance with and accurate record of all audits, and ensure that the audit cycle is followed through to closure.
Safety Promotion:
- Responsible for the development, implementation and continual improvement of the SMS training modules for the FBO network, ensuring that teams receive the training commensurate to their role in the organization
- Conceptualize and implement an organization wide safety promotion and communication plan to increase awareness on SMS and promote organizational learning
- Conducting periodic safety surveys across the FBO network and providing analysis on the trends. Develop action plans based on feedback received during such surveys.
- Promoting safety awareness and a just culture within the organization.
Compliance-related duties:
- Adhere to the documented procedures of the organization or department and retain documented evidence related to the performance of their role.

Requirement:
